New client checklist
What to have ready before an accounting relationship starts.
Do not send any of these documents yet. Caldex provides secure submission instructions once we have spoken — never send them through the consultation form or ordinary email.
Business basics
- Legal name and any operating name
- Business structure and fiscal year-end
- A short description of what the business does
- Who is authorized to approve work
Registrations
- Business number and registered program accounts
- GST/HST registration and filing frequency
- Payroll account, if applicable
- WSIB account, if applicable
Bookkeeping records
- Bookkeeping platform in use
- Date records were last reconciled
- Bank, credit-card, loan and merchant statements
- Sales invoices, vendor bills and expense receipts
- Any periods you know are incomplete
Payroll (if applicable)
- Pay frequency and payroll platform
- Number of employees
- Prior payroll registers and remittance history
Tax history
- Prior corporate return and notice of assessment
- Prior GST/HST returns and assessments
- Prior personal return, where owner tax support is in scope
- Unresolved CRA correspondence
- Instalments or payments already made this year
Access and handover
- Primary contact for questions
- Whether a previous accountant or bookkeeper is involved
- Ability to grant system access by approved invitation
